Record notifications

You can set up email notifications that will be sent to record participants. Participants include the author, assignees, and courtesy copy recipients, as well as individual contacts and contacts of companies that are listed in any standard record fields. Attendees in meeting minute records are not participants.

The following notifications may be available:

  • When an assignment is added to the record, the assignee receives an email.
  • When a courtesy copy is added to the record, the recipient receives an email.
  • When a new comment is added to the record, record participants receive an email.
  • When the status of the record is changed, record participants receive an email.
  • When an open assignment in an unlocked record is due soon or overdue, the assignee receives an email.

If the record type uses status workflows, the RecordType - Status Changed setting determines whether emails are sent when a record changes to a status with a notification.

If the record type uses ball-in-court workflows:

  • The RecordType - Workflow step changed setting determines whether emails are sent to participants who are not a current assignee when a record moves to the next workflow step.
  • The overdue notification is sent to the workflow manager, if one is added to the workflow template, and to the step assignee.
  • Users can turn off some notifications in their preferences.
  • If the record type uses status workflows, the RecordType - Status Changed setting determines whether emails are sent when a record changes to a status with a notification.
  • Assignment reminder notifications are sent based on the schedule for the record type.
