Assignments

You can assign a drawing set or specific drawings in the set to other people. If a drawing has any assignments, the assignments icon on the row is active (Assignments indicator).

  • If drawing sets are configured to use workflow templates, assignees can submit a response to move the drawing set to the next workflow step. For more information about assignments in drawing sets that use workflow templates, see Workflow templates.
  • Assignments are displayed in the notification center for 30 days.
  1. Open the drawing set.
  2. In the Information panel, expand the Assigned To section.

  1. Open the project home page.
  2. If the Assignments panel is closed, select Assignmens panel toolbar button (Assignments).
  3. In the By section, select the filters.
    • Assigned To: The name of the assignee.
    • Company: The company of the assignee.
    • Record Type: The type of assigned item.
    • Status: The status of the assigned item.
    • Due Date: The due date of the assignment. If an assignment doesn't have a due date, the record due date, if available, is used.
  4. To open a drawing set from the panel, select one of the following:
    • Right arrow icon (Open): Open the drawing set in the current tab.
    • Open in new tab icon (Open): Open the drawing set in a new tab.
  • In the module, select the item, and then select Resend icon (Send) on the toolbar.

    • —Or—

    On the assignment card, select More icon (More) > Send Assignment Reminder.

    Reminders are sent only for open assignments.

If the notification setting is on, assignees receive an email when they're added. Assignees can add a comment to the drawing set or drawing by replying to the notification.

The drawing set must have a non-draft status so that it's visible to assignees.

  1. On the contact card, hover over the profile picture or initials.
  2. In the contact popover, select the contact information that you want to copy.

    3. The contact information is copied to your clipboard.

  1. Open the drawing set.
  2. Open the list of users, contacts, or distribution lists.
    • To open the list of ProjectSight users, select Users.
    • To open the list of company and project contacts, select Contacts.

      • To view all the contacts in the portfolio, select the Include portfolio contacts checkbox.

    • To open the distribution lists of contacts, select Distribution list.

    The list displays only project contacts or displays all contacts and users, depending on the portfolio setting for company and contact selection.

  3. Select the checkbox for one or more names or distribution lists.

    4. If you select the checkboxes for some names or distribution lists, and then enter a search term, those checkboxes remain selected even if they're not visible in the filtered list.

  4. To invite a member, select Invite member.

    5. This option is available if you have permission to invite members.

    1. In the Email field, enter or select the email address.

      2. If you select an existing email address, the contact's name, company and default security role are entered automatically.

    2. From the Security role list, select a security role to make the new team member a ProjectSight user.

      3. —Or—

      Select None (contacts only) to make the new team member a project contact.

    3. In the First name and Last name fields, enter the name.
    4. In the Company field, select the company.

      5. —Or—

      Enter a new company name, and then select Add.

    5. Select Save.

      6. —Or—

      Select Save & add another to invite another team member.

  5. To add a due date on the contact card, select Set a Due Date or Calendar icon (Date), and then select a date.

  2. In the Assigned to section of the panel, select Add.
  3. Open the list of users, contacts, or distribution lists.
    • To open the list of ProjectSight users, select Users.
    • To open the list of company and project contacts, select Contacts.

      • To view all the contacts in the portfolio, select the Include portfolio contacts checkbox.

    • To open the distribution lists of contacts, select Distribution list.

    The list displays only project contacts or displays all contacts and users, depending on the portfolio setting for company and contact selection.

  4. Select the checkbox for one or more names or distribution lists.

    5. If you select the checkboxes for some names or distribution lists, and then enter a search term, those checkboxes remain selected even if they're not visible in the filtered list.

  5. To invite a member, select Invite member.

    6. This option is available if you have permission to invite members.

    1. In the Email field, enter or select the email address.

      2. If you select an existing email address, the contact's name, company and default security role are entered automatically.

    2. From the Security role list, select a security role to make the new team member a ProjectSight user.

      3. —Or—

      Select None (contacts only) to make the new team member a project contact.

    3. In the First name and Last name fields, enter the name.
    4. In the Company field, select the company.

      Enter a new company name, and then select Add.

    5. Select Save.

      6. —Or—

      Select Save & add another to invite another team member.

  6. To add a due date on the contact card, select Set a Due Date or Calendar icon (Date), and then select a date.

If you're assigned to a drawing set or drawing, you can add a comment and link items to it by replying to the email notification. However, the assignment isn't marked as done until you manually change it.

  1. Open the email notification, and create a reply.

    2. In the email notification, select Reply.

  2. In the reply email, enter your comment above the indicated line.

    3. To include a web link, enter the URL in the reply. In ProjectSight, you can't select the link, but you can copy and paste it into a browser.

  3. Attach files to your response.
  4. Send the reply.

    5. In the drawing set or drawing, the reply is added to the Comments tab, and the attached files are uploaded to the quick upload folder.

  • In the Assigned to section of the panel, select the side of a contact card, and drag it to a different position.
  • In the Courtesy copies section of the panel, select the side of a contact card, and drag it to a different position.

    • Assignments don't have to be completed in this order.

  • On the contact card, select Calendar icon (Calendar), and select the new date.

    • You can only change the due date for assignments that aren't completed yet.

  • On the contact card, select the checkbox.
    • Done checkbox for an assignment
  • On the contact card, select More icon (More) > Delete.

    • This person will no longer receive notifications.
